The aim of this project was to improve and standardize the information provision for the Facility Company within an Independent Administrative Body (ZBO) via information management (IM).
Information management for the staff directorates is centrally organized and placed at a distance from the internal customer. Nevertheless, it was necessary to work in close cooperation with the customer to optimize processes, systems and information provision.
The business consultant acted as an advisory account manager for the business stakeholders, from the Board of Directors to the end users. He took a proactive role in standardizing the production process, coordination with Functional Management, drawing up information plans and advising on improvements in chain stability.
In addition, the business consultant fulfilled the role of team leader, in which he managed five business and information analysts and was responsible for the analysis, design and implementation of change requests and smaller projects. He was also involved in European tenders relating to integration and implementation in business processes and systems. A domain plan was drawn up per quarter, looking ahead to the next five quarters.
With regard to the purchasing function, which lies with the Facility Company, an 'Order-to-Pay' process was defined in collaboration with the Accounts Payable Administration. Strong emphasis was placed on good collaboration within the chain, including external suppliers and internal customers. This has led to the standardization of the ordering process with preferred suppliers, sending digital purchase orders as much as possible and receiving electronic invoices.
