The mental health institution asked Green Rock Consulting to supervise the implementation of improved processes in the newly purchased cloud application, based on the previously performed package selection (also supervised by Green Rock Consulting), and in accordance with the 5D method.

The implementation resulted in significant improvements in various business processes, including the P2P process, the logistics process, the budget process, the proxy arrangement and the project administration. These processes have been optimized and digitized. The HR processes were already fully digitized via ESS/MSS, supported by various HR applications that were partly manually linked. As a result, all e-HRM processes, including personnel and payroll administration, were transformed in one go and optimized where necessary (made lean).

The digitization of the processes was carried out in accordance with the best practices of the cloud application, with adjustments being made where necessary. During the implementation, the information provision was also improved and the employees of the business operations were trained in the new processes and cloud application. The previously fragmented application landscape has been migrated to a single new cloud solution, including all necessary integrations that have been made available via a newly purchased Enterprise Service Bus. The processes, authorizations and conversions have been carried out in an EDP-compliant manner. In addition, the new management organization has been set up, the management processes have been further optimized, and after Go-Live the project has been successfully transferred to the line organization. During the implementation, a lot of attention was paid to the collaboration between different directorates in order to achieve a more integrated business operation. This was essential for improving the quality of the service provision to the healthcare locations. A representation of end users from the healthcare locations has been involved in the project since the package selection and has played an important role in accepting the future processes and the design of the new cloud application.
